Frequently asked questions
Straight answers about Bayline, the AI front desk and CRM for independent collision shops. Don't see your question? Ask it on the demo or email support@bayline.ai.
The basics
Bayline is an AI front desk and CRM for independent collision shops. It answers calls and texts at any hour, books free estimate visits on your real calendar, sends confirmations and reminders, and hands anything that needs a person to your staff. Your team works from one app with a shared inbox, a "Needs you" list and a job board.
No. Bayline doesn't write estimates. It's the front desk and CRM around them: it answers calls, books estimate visits, texts customers and keeps your team's work in one place. Keep writing estimates in CCC ONE or Mitchell.
No. Bayline works alongside your estimating system. You keep writing estimates in CCC ONE or Mitchell. Bayline handles the calls, texts, bookings and customer updates around them.
No. Keep the estimating system you have. Bayline doesn't need access to CCC ONE or Mitchell to answer calls, book estimate visits or text customers.
It covers the customer side of running a collision shop: calls, texts, email, bookings, a job board by repair stage, parts tracking, insurer updates, and photos and files for each customer. It does not write estimates.
Yes. Bayline is built for independent shops with one to three locations, and pricing is per location.
Calls and the AI
Yes. Bayline says up front that it's the shop's automated assistant.
Yes. Bayline understands callers and customers who speak Spanish. Bring your questions about Spanish calls to the demo and we will show you how it handles them.
It hands off instead of guessing. During your hours it transfers the caller to your shop phone. After hours it texts the caller your direct number and alerts your staff to call back.
When the caller asks for a person, sounds upset, or asks about money or insurance. During your hours it transfers to your shop phone. After hours it texts the caller your direct number and alerts your staff to call back.
No. Bayline never quotes a price it wasn't given, never says what insurance covers, and never promises a completion date. Those questions go to your staff.
Bayline answers every call, books free estimate visits into your open times and can check on a repair. If the caller needs a person, it texts them your direct number and alerts your staff to call back.
Yes. Callers can ask Bayline where their repair stands. It will not promise a completion date. If they want one, it passes the request to your staff.
No. Bayline gets its own phone number and your shop number stays the same. You decide where to publish the Bayline number, for example on your website, your Google listing or your voicemail greeting.
Booking, texts and consent
It reads your real calendar, offers the caller open times, books only the time the caller picks, and reads it back before hanging up. A confirmation text and email go out right away.
A confirmation goes out as soon as the visit is booked, and a reminder goes out the morning of the appointment. Reminders stop if the appointment is cancelled or the customer replies STOP.
No. Bayline tracks consent for every customer and never texts anyone who has not agreed. Customers can reply STOP at any time and texting stops.
They can ask. Bayline flags the cancel request for your staff instead of cancelling it automatically, so a person always confirms.
Your data
You do. Each shop's data is kept separate from every other shop's. If you leave, we export your customers, jobs and messages for you.
Pricing and setup
The founding pilot for the first two shops is $750 for setup and $750 for the first 30 live days. After that it is $1,250 a month per location, month to month.
Your plan includes a monthly allowance of texts and AI conversations. We go over the allowance with you on the demo, and nothing over it is charged without your approval.
No. Bayline is month to month. After the first 30 live days you keep it or cancel before the next month starts.
About two weeks. We set up your hours, your calendar and your Bayline number, and register the number with the carriers for texting. Then we test it with your staff before any customer hears it.
Clara is the assistant inside the staff app. Your team can ask her "how do I…" questions and she answers from the built-in help center.
Still have a question? Ask it live.
In 30 minutes we'll walk through a real after-hours call, your calendar and the staff app. Then we'll tell you honestly whether it fits your shop.
